Associate Manager, Building & Facilities
Purpose of the Role
Foster a safe, efficient, and inviting workplace environment throughout our local and regional locations. You will oversee crucial aspects of office operations—including administration, facility management, workspace planning, travel coordination, and business continuity—making sure every employee is equipped to perform at their best. Based in Tokyo, Japan, this role reports to the APAC GRE Regional Manager. Your responsibilities include managing all areas related to building and facilities, general administration (including health and safety), and the Business Continuity Plan for group entities across Japan, Korea, and Greater China. This position also requires you to work closely with other cluster leads to guarantee regional alignment and operational efficiency.
You Will Be Responsible For
Administration
- Overall management of office operations locally and within the cluster covered, and services following Amadeus standards and in the most cost efficient way.
- Compare costs for required goods or services to achieve maximum value for money.
- Perform appropriate stock management of furniture & fittings and other relevant items as required by Finance Department.
- Participate with People and Culture, DTS and other relevant units in the processes related to newcomers/leavers.
- Overlooking and assisting regional Administration activities, as directed.
Facility Management (Facility Management – FM)
- Preventive and general maintenance of office infrastructure, Server Rooms etc. Respond effectively to emergencies as they arise.
- Preventive and general maintenance of furniture, fittings and the like.
- Direct responsibility for relevant vendor negotiation and management
- Manage and supervise contractor's work for all the above as well as office renovation/reorganization.
- Contact point with landlord & building management for all the above.
- Ensure staff and other stakeholders are properly informed in advance about maintenance, renovation and other activities that my impact them.
- Oversee all soft services, including cleaning, reception, mailroom, pantry services, waste management, and office supplies.
- Ensure high-quality service delivery through regular performance reviews, service-level monitoring, and continuous improvement initiatives.
- Coordinate daily activities with service vendors, ensuring full compliance with contractual obligations and company standards.
- Implement and maintain hospitality standards to provide a welcoming and efficient working environment for employees and visitors.
Property Management (Property Management – PM)
- Support CRE (Corporate Real Estate) in planning future space needs in line with business objectives and anticipated organizational evolution, as well as in the the best utilization of space through renovation or reorganization within current premises.
- Support CRE in the planning for the most suitable physical working environment in accordance with the Amadeus Workspace Guidelines, local regulations, and other relevant references.
Health, Safety & Environment (Health, Safety and Environment – HSE)
- Ensure Amadeus premises comply with all relevant regulations and ordinances
- Responsible for fire safety program (Fire Warden, Equipment, Evacuation, Procedures, Staff Awareness, Fire Drill, etc.)
- Proactively raise environmental friendly initiatives that help advance our commitment in this area (as demonstrated by Amadeus' inclusion in the Dow Jones Sustainability Index - DJSI)
- Responsible for Environmental, Facility and other such surveys requested from HQs
Travel Management (Travel Management – TM)
- Support staff business travel in accordance with corporate travel policy.
- Responsible for local relationship with the company's travel agency.
- Negotiation with local hotels chosen as preferred properties to ensure the best possible deal and that agreed rates are loaded in the internal applications.
Business Continuity Coordination (Business Continuity Coordinator – BCC)
- Ensure Business Continuity Management is implemented at all regional sites, including required processes and documentation is available as part of this process
- Liaise with Business Units & Divisions in order for them to develop and maintain their Business Continuity documentation: Business Impact Analysis (BIA) and Business Unit Plans (BUP)
- Coordinate with Risk and Compliance to ensure alignment with corporate guidelines.
- Once BCP is implemented, ensure maintenance and testing on a regular basis.
About The Ideal Candidate
- 5+ years’ experience in office administration, facilities, property, or workplace operations managing a team both onsite and remotely in a medium to large company size.
- Comfortable coordinating with multiple vendors, contractors, and internal teams.
- Strong organizational and communication skills.
- Familiarity with health & safety, sustainability, or business continuity processes.
